Last Updated: May 24, 2026

This Privacy Policy explains how CalledItAI LLC, a New Jersey limited liability company ("CalledItAI," "we," "us," or "our"), collects, uses, stores, and discloses information when you visit our website, use our software, create an account, connect third-party services, receive or place calls through our workflows, or otherwise interact with our products and services (the "Services").

Information We Collect

We may collect:

How We Collect Information

We collect information directly from you, from your authorized users and staff, from callers who interact with your CalledItAI workflows, automatically through logs, cookies, local storage, and similar technologies, and from third-party integrations and service providers.

How We Use Information

We use information to provide, operate, maintain, and improve the Services; create and manage accounts; authenticate users; process calls, recordings, transcripts, summaries, bookings, routing, and business workflows; provide dashboards and analytics; support integrations; provision or display phone numbers; send operational alerts and notifications; process subscriptions and billing; communicate with you; provide support; secure the Services; prevent misuse; comply with legal obligations; and enforce our agreements.

Call Processing, Recording, and AI Features

CalledItAI is designed to process business phone interactions. Depending on your setup and applicable law, calls may be recorded, transcribed, summarized, analyzed, and used to trigger follow-up actions or business workflows.

AI systems may process call content, caller requests, business configuration data, and related context to generate responses, summaries, classifications, routing suggestions, analytics, or workflow actions. AI-generated results may be incomplete or inaccurate, and businesses should review important outputs where appropriate.

Businesses using the Services are responsible for determining whether they must provide notices or obtain consent from callers for recording, transcription, AI assistance, messaging, or scheduling workflows under the laws that apply to their business and callers.

Text Messages and Notifications

If your plan or setup includes SMS alerts, customer confirmations, staff notifications, or follow-up messages, we use phone numbers and message content to send and manage those communications. Message delivery may depend on carriers, Twilio, customer devices, and other third parties. Businesses are responsible for ensuring they have appropriate consent and lawful grounds to send messages through the Services.

How We Share Information

We may share information:

We do not sell personal information for money. We may disclose information to service providers and integration partners as needed to provide the Services.

Payment Information

Payments are processed by third-party payment providers such as Stripe. We do not store full payment card numbers on our servers. We may receive limited billing details, payment status, subscription status, invoices, and transaction metadata needed to manage your account.

Data Retention

We retain information for as long as reasonably necessary to provide the Services, comply with legal obligations, resolve disputes, maintain security, and enforce our agreements. Retention periods may vary depending on the type of data, your plan, your settings, legal requirements, backup cycles, and the reason the information was collected.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Cookies and Similar Technologies

We may use cookies and similar technologies to keep users signed in, remember preferences, analyze usage, and improve performance. You may be able to manage certain cookie settings through your browser.

Your Rights

Depending on where you live, you may have rights to request access to, correction of, deletion of, portability of, or additional information about the personal data we maintain about you. You may also have rights to opt out of certain processing where applicable. To make a request, contact us using the details below.

If you are a caller interacting with one of our business customers, we may process your information on behalf of that business. In that case, we may direct your request to the business that controls the relevant workflow or account.

State Privacy Notices

Certain U.S. state privacy laws, including laws in states such as New Jersey, California, Colorado, Connecticut, Utah, and Virginia, may provide additional rights to residents when those laws apply. We will respond to applicable privacy requests as required by law.

California Notice

If California law applies, California residents may have certain privacy rights. California also requires operators of commercial websites and online services collecting personal information from California consumers to conspicuously post a privacy policy. This Privacy Policy is intended to help satisfy those obligations.

Do Not Track

Some browsers offer "Do Not Track" signals. There is no uniform industry standard for responding to those signals, so we do not currently respond to them in a separate way.

Children's Privacy

The Services are not directed to children under 13, and we do not knowingly collect personal information directly from children under 13 through the Services.

Third-Party Services

Our Services may link to or integrate with third-party services. Their practices are governed by their own terms and privacy policies.

Business Customer Responsibilities

Businesses that use CalledItAI are responsible for providing any required privacy notices, call recording notices, consent requests, and customer-facing disclosures for their own callers, customers, staff, and authorized users.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last Updated" date and post the revised version.
